General Monthly Meeting Minutes for November 19, 2024

Meeting Location –

Members in Attendance – (10)

Attending the October meeting were members – Mike Allen (President),  Joshua Casto (Membership), Rich McCoy (Activities), Paul Zelenak, (Treasurer), Henning Carlsen, Ed Caughell, Chris Shrodes, Steve Wolfe, Al Holtsberry & Associate Member Carol McCoy. 

Call to Order –

Mike Allen called the meeting to order at 8:01 P.M. 

Secretary’s report –

Larry Laskorski was unable to attend the meeting as he was out of town.  Mike Allen read the minutes of the meeting held on October 15, 2024.  A motion was made, and seconded, to accept the minutes, as submitted, and that they be entered into the organization’s records.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Treasurer's report –

Paul Zelenak advised the members in attendance that Hennig and he had successfully transferred the signature authority on the club’s bank account to Paul and successfully setting up electronic bill pay.  There were no financial transactions other than the issuance of a deposit to Schmidt’s for the annual club Christmas party.  A motion was made, and seconded, to accept the Treasurer’s report, as submitted.  All members in attendance voted in favor, with no objections, and the motion was approved.  Should any members not attending this meeting need information on the current financial position of the club, please reach out to Paul Zelenak. 

Membership report – 

Joshua Casto reported that there have been no membership changes since the last meeting.  The club’s current membership stands at 51 and there are 33 active members on the club’s Facebook page.  Joshua advised the members in attendance that he has taken over as Administrator of the club’s website.  A motion was made, and seconded, to accept the Membership report, as submitted.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Activities Report –

Rich McCoy confirmed the details for the annual banquet at Schmidt's Sausage Haus on February 1st, including the cost and the availability of a lift for members with mobility issues.  The club will subsidize the cost to keep the fee at $25 per person.  Rich emphasized the importance of paying membership dues by February 1st to attend the banquet. He suggested including a spot for banquet reservations and membership dues on the form to make it easier for members. 

Josh provided details about the charity scavenger hunt to take place at next year’s Wailin Wayne event, including the rules and the need for prizes and promotional items. The event will charge a flat rate of $10, with proceeds going to a selected charity.

A motion was made, and seconded, to accept the Activities report, as submitted.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Old & new business – 

Beemer Bonanza Sweepstakes – both Motohio and BMW Motorcycles of Greater Cincinnati are sponsors of this sweepstakes.  Tickets are $25 each or 5 for $100.  30% of the proceeds raised by each dealership will go to the AMA Museum and Middletown YMCA, respectively.  See Motohio’s website for more information. 

GS Challenge -  Sponsored by BMW Motorcycles of Greater Cincinnati was held– November 3, 2024, from 11:00 AM to 2:00 PM.  The event was very successful, and attendance was very good. 

Mike Allen advised the members in attendance that Chris Shrodes has volunteered to become the club’s Secretary replacing Larry Laskorski who will be moving to Tennessee next year.  Mike made a motion to approve Chris Shrodes as Secretary.  The motion was seconded and all members in attendance voted in favor, with no objections, and the motion was approved.  

Mike Allen made a motion that since the club does not traditionally meet until after the Annual Club banquet, which is currently scheduled for Saturday, February 1st, that the first club meeting in 2025 will be held on Tuesday, February 18th.  The motion was seconded and all members in attendance voted in favor, with no objections, and the motion was approved.

Call to Order –

Larry Laskorski called the meeting to order at 8:00 P.M as Mike Allen (President) was unable to attend.  He is participating in the BMW Days event being held at the Barber Motorsports Park in Leeds, Alabama. 

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on September 17, 2024.  Joshua Casto moved to accept the minutes, as submitted, and that they be entered into the organization’s records.  Paul Zelenak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Treasurer's report –

Paul Zelenak was elected to the position of club Treasurer, at the September meeting, to replace Henning Carlsen, who has served in this role for many years. 

Henning presented a short financial report, on behalf of Paul, that indicated the current treasury balance and that the club is solvent.  Henning brought up the high annual cost of the club’s post office box.  After a short discussion it was decided to maintain the post office box until the club can set up an electronic platform to process dues payments.  Henning stated that he and Paul will need to meet with Union Savings Bank to remove Henning as the signatory on the account and add Paul Zelenak in his place. 

Ed Caughell moved that the club authorize the change in signatories on the bank account from Henning Carlsen to Paul Zelenak.  Joshua Casto seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

Henning and Paul plan to go to Union Savings Bank sometime next week to provide them with a copy of these minutes in support of the request to change the signatories on the club’s account.

Rich McCoy moved to accept the Treasurer’s Report, as provided, and that it be entered into the organization’s records.  Joshua Casto seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  Going forward, should any members not attending this meeting need information on the current financial position of the club, please reach out to Paul Zelenak.

Joshua Casto reported that there have been no membership changes since the last meeting.  The club’s current membership stands at 51.  This number will be updated when the 2025 dues notices are communicated to the membership and payments have been received.  To remain an active member in the club, dues must be paid by February 1, 2025.

Joshua advised the members in attendance that he is working with Cory Samuell to assume the management of the club’s website.  Cory created the site when he was a member and has continued to maintain it and bear the financial responsibility of the website on behalf of the club.  This arrangement is no longer feasible as Cory moved out of Ohio some time ago.  Joshua will work with both Cory and Paul to transfer the financial responsibility for the website to the club.

Joshua continues to work on the Stack Team App for the club which should facilitate communications with members, as well as providing a means for the electronic payment of club dues. 

Chad Warner has agreed to allow the club to sponsor a charity scavenger hunt at next year’s Wailin Wayne event.

Activities Report –

Rich McCoy reported that the October club ride will be to the Cardboard Boat Museum in New Richmond, Ohio this Sunday, October 20th.  Members wishing to participate should plan to meet  at Motohio at 8:15 AM.

Rich updated the club website to reflect Paul Zelenak as the club’s Treasurer and to also show Viking Bags as a supporter of the club.  He is awaiting receipt of the bags that Viking offered the club in exchange for listing them as a supporter.

Annual Banquet - Rich was able to confirm that Schmidt’s Sausage House does have a small chair lift that can be used by members/guests who may have difficulty traversing stairs.  He will reach out to Schmidt’s to try to solidify the date for the banquet, possibly February 1, 2025.

Joshua Casto moved to accept the Activities Report and that it be entered into the organization’s records.  Chris Shrodes seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

Call to Order –

Mike Allen called the meeting to order at 7:35 P.M as the members in attendance had finished eating. 

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on August 20, 2024.  Rich McCoy pointed out an error in the name of the saddle bag company that had reached out to the club offering a free set of bags in exchange for the club listing their logo on the club’s website and indicating that they are a sponsor of the club.  The company name was incorrectly reported as Biker Bags when is should have been Viking Bags.  Larry will correct the August meeting minutes to properly reflect the company’s name.  Mike Allen moved to accept the minutes, as submitted, and that they be entered into the organization’s records.  Joshua Casto seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

Rich McCoy reported that the club had a great ride for September. 

He is trying to come up with a destination for the October ride and suggested the Cardboard Boat Museum in New Richmond, Ohio. 

Rich also brought up that we should begin the planning of the annual club banquet.  He will contact Schmidt’s Sausage House to see if an elevator is available to bring guests, who have difficulty climbing stairs, up to the second-floor party rooms. 

Larry Laskorski moved to accept the Activities Report and that it be entered into the organization’s records.  Tom Andrejcak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

The BMW Demo Truck was at BMW Motorcycles of Greater Cincinnati on Friday and Saturday, August 30th and 31st.  The event was well attended. 

Wailin Wayne Weekend – September 4th through September 8th

  • Motohio gave away a BMW 310 GS

  • Mike, through BMW Motorcycles of Greater Cincinnati, arranged for the BMW Performance Center to bring a truckload of GS’s to provide training and demos on the trails.

Joshua mentioned that he has a preliminary conversation with Chad Warner about having a charitable scavenger hunt, sponsored by the Buckeye Beemers Motorcycle Club, at next year’s Wailin Wayne event.

Membership report – 

Joshua Casto reported that we have not added any new members and that we have lost a few, since the last club meeting.  Now that Henning is back in the country, he will get together with Henning to update the membership information for the club. 

Collections efforts this year have been very labor intensive on the part of both Joshua and Henning.  Given where we are in the year, Joshua’s plan is to leave the member list, as is, for now.  On January 1, 2025, a notice will go out to the 51 members that we have on the mailing list.  They will have 30 days to make their dues payment.  Anyone not paying their dues by February 1st will be dropped from active membership.  This revised approach will simplify the collection of dues going forward and reduce the amount of time that he will have to spend contacting those members that are delinquent. 

The club will continue its policy of any new dues paying members added during the balance of 2024 will have their membership extended through December 31, 2025. 

Joshua stated that, after the September meeting, he would like the Directors to schedule a meeting to transition the two new Directors into their roles for 2025. 

Josh informed the members that he will have the new club stickers available at the next meeting. 

Tom Andrejcak moved to accept the Membership Report and that it be entered into the organization’s records.  Stuart Anderson seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Activities Report –

Rich McCoy reported that the club had a great ride on August 11th. 

He advised the members in attendance that he had been contacted by Viking Bags, a manufacture of leather saddlebags and saddlebag liners.  The company offered to provide the club with a set of bags in return for the club listing their logo on our website or stating that they are a supporter of the club.  Rich will follow up in more detail with the company so we can discuss this offer further at the next club meeting.  The donated bags could be used as a prize at the club’s annual banquet. 

Henning Carlsen moved to accept the Activities Report and that it be entered into the organization’s records.  Larry Laskorski seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Old & new business – 

Larry reminded the members in attendance that both Henning Carlsen and he will be stepping down from their positions of Club Treasurer and Secretary, respectively, after the September meeting.  Any members who would like to serve in either of these positions, or any of the current Board positions, should submit their candidacy to any of the current Board members by August 31, 2024.  Candidate names, and the positions that they are seeking to hold, will be placed on a ballot, and shared with all active members to be voted on at the September meeting.  Larry will email the ballot to all members, in advance of the next meeting.  Paul Zelenak has submitted his candidacy for Treasurer,  We still need a candidate for Secretary. 

The BMW Demo Truck is scheduled to be at BMW Motorcycles of Greater Cincinnati on Friday and Saturday, August 30th and 31st.  See Motohio’s website for more information. 

Wailin Wayne Weekend – September 4th through September 8th

  • Motohio will be giving away a BMW 310 GS

Mike Allen called the meeting to order at 7:46 P.M. 

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on June 18, 2024.  Joshua Casto moved to accept the minutes, as submitted, and that they be entered into the organization’s records.  Mike Allen seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Treasurer's report –

No Treasurer’s report was provided as Henning Carlsen is currently traveling in Europe. 

Membership report – 

Joshua Casto reported that he is continuing his efforts to collect dues from members which have not paid the current year’s dues.  He noted that Henning has received some dues payments from members.  However, with Henning currently out of the country, Joshua is unable to provide an accurate report of his efforts.  He will provide an update after Henning returns home. 

Joshua updated the members in attendance that the app that he is developing to track membership dues and provide notifications to members has five active members.  He plans to move forward with the app to post events and eventually process dues payments.  This app should ultimately replace the club’s current communication platforms of social media and direct email.  The app may be found on the various app store platforms.  The app is named Stack Team.  Members are encouraged to download the app and try it out.  Comments and suggestions should be sent to Joshua.

Activities Report –

Rich McCoy reported that the Fayetteville trip was a success.  There was a good turnout, and it was a safe and enjoyable event for all participants.  Rich noted that the contributions received for the cookout exceeded the cost of the food by $75.  Rich will be giving the excess funds to Henning to deposit into the Club’s treasury. 

Larry Laskorski moved to accept the Activities Report and that it be entered into the organization’s records.  Mike Allen seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Old & new business – 

Mike updated the members that he recently received a revised BBMC Charter Certificate from the AMA with the prober expiration date of 12/31/24. 

Mike reminded the members in attendance that both Henning Carlsen and Larry Laskorski will be stepping down from their positions of Club Treasurer and Secretary, respectively, later this year.  Any members who would like to serve in either of these positions, or any of the current Board positions, should submit their candidacy to any of the current Board members by August 31, 2024.  Candidate names, and the positions that they are seeking to hold, will be placed on a ballot, and shared with all active members to be voted on at the September meeting.  

Per Article V: Governance, Section 3 of the Club’s Constitution, “Voting for candidates for Board positions will be conducted by secret ballot at the September meeting.  All published candidates will be listed on the ballot.  If a member is unable to attend the September meeting, they may deliver their written ballot to any Board member to be submitted on that member's behalf when the vote is called.”  A complete copy of the Club’s Constitution can be found on the club’s website. 

Larry will send out an email to all members advising them of the upcoming elections and to encourage any members that would like to participate in the management of the club to submit their names and the Board position that they would like to serve.

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on May 21, 2024.  Paul Zelenak moved to accept the minutes, as amended, and that they be entered into the organization’s records.  Tom Andrejcak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Treasurer's report –

No Treasurer’s report was provided as Henning Carlsen is currently traveling in Europe. 

Membership report –

With respect to the Fayetteville trip, Joshua reminded the members in attendance that the trip is scheduled from July 12th through the 14th.  Anyone interested in participating should reach out to Rich for details.

Mike shared that he recently received the BBMC Charter Certificate from the AMA.  Mike pointed out that while he just received the certificate, it expired on 12/31/23.  He will be reaching out to the AMA for a current year certificate.

At last month’s meeting the subject of drafting Group Ride Rules, to ensure the safety of all participants, was suggested.  Tom Andrejack provided the members in attendance with a draft of the rules.  A pdf version of the draft rules will be provided to all club members via email.  Members are encouraged to provide comments and suggestions to Tom. 

Mike reminded the members in attendance that both Henning Carlsen and Larry Laskorski will be stepping down from their positions of Club Treasurer and Secretary, respectively, later this year.  Any members who would like to serve in either of these positions should advise the Board members who will then submit them to a vote of the membership at either the August or September meeting.

Call to Order –

Mike Allen called the meeting to order at 8:00 P.M. 

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on April 16, 2024.  Tom Andrejcak moved to accept the minutes, as amended, and that they be entered into the organization’s records.  Joshua Casto seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Treasurer's report –

Henning Carlsen provided a short financial report that indicated the current treasury balance and that the club is solvent.  Mike Allen moved to accept the Treasurer’s Report, as provided, and that it be entered into the organization’s records.  Rich McCoy seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  Should any members not attending this meeting need information on the current financial position of the club, please reach out to Henning. 

Membership report – 

Joshua reported that the club currently has 57 members and 10 associate members.  He noted the club lost one member who moved to Europe, and added one new member.  Joshua reiterated that he is continuing to actively collect dues payments from members that have not paid their 2024 dues. 

Joshua passed around the suggestions that he received for the 2024 club sticker.  There were five suggestions for the new sticker.  He asked the members to review and place a mark next to the design that they would like to see.  After all members reviewed the options presented the membership chose the version of a representation of a stylized state of Ohio centered in a roundel with Buckeye Beemers around the perimeter of the roundel.   

Joshua advised the members in attendance that he is working to develop an app to track membership dues and provide notifications to members.  He will provide an update his progress at the next meeting. 

Joshua brought up the suggestion that the club consider offering multi-year membership options.  After some discussion it was decided to try this suggestion by offering members the option to purchase a three-year membership for a discounted dues payment of $90.  The current annual dues are $35 per year.  The members in attendance voted to adopt this proposal. 

Larry Laskorski moved to accept the Membership Report and that it be entered into the organization’s records.  Tom Andrejcak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Activities Report –

Rich McCoy reported that the May monthly ride was held this past weekend with a good turnout of riders.  Rich advised the members in attendance that Al Holtsberry had reached out to him and suggested that since participation in the rides is increasing, that it would be prudent to set up some general guidelines and rules for these rides to ensure the safety of all current and future participants.  Rich handed out a draft of the guidelines & rules and asked the members in attendance to review them and provide any comments and suggestions to him.  Rich stated that he would not be in the area for the next scheduled club ride and asked for a volunteer to coordinate and lead the ride.  Anyone interested should reach out to Rich. 

With respect to the Fayetteville trip, Rich informed the members in attendance that there are currently eight rooms reserved for the event.  He asked any members that would like to participate but have not reserved a room yet to please do so.

Old & new business – 

Wednesday Dinner Rides – the schedule has been posted to Motohio’s website.  Mike handed out copies of the schedule to all members in attendance. 

AMA Bike Night – May 18th from 5:00 to 9:00 PM.  This was a very well-attended event for the museum.  Unfortunately, the club did not generate any new membership from this event. 

Distinguished Gentlemen’s Ride – May 19th.  There were 100 registered participants whose donations totaled over $14,000.  Mike advised the members in attendance the this was the tenth year that Motohio sponsored this event in Columbus.  Over this period the participants have raised approximately $150,000 for this charitable event. 

Motohio track day at Mid-Ohio Sports Car Course – May 20th.  Mike estimates that there were approximately 30 customer participants, in total, from both dealerships.  Nate Kern, BMW Brand Ambassador for the S1000RR, provided coaching to participants between on-track sessions.

Henning Carlsen and Larry Laskorski advised the members in attendance that they would be stepping down from their positions of Club Treasurer and Secretary, respectively, later this year.  Henning has served as Treasurer for many years and feels that it is time for another club member to take on this role.  Larry stated that he will be moving to central Tennessee around this time next year.  Larry suggested that members who would like to serve in either of these positions advise the Board members who will submit them to a vote of the membership at either the August or September meeting.

Mike Allen called the meeting to order at 8:21 P.M as the restaurant was slow in providing us a table for the 7:00 PM social/dinner hour.

Larry Laskorski read the minutes of the meeting held on March 19, 2024.  Ann Allen pointed out that the dates for the BMW Demo Truck event, as stated in the minutes, were incorrect.  Larry stated that he would make the corrections to the March published minutes.  Joshua Casto moved to accept the minutes, as amended, and that they be entered into the organization’s records.  Tom Andrejcak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

Distinguished Gentlemen’s Ride – May 19th.  Participants will meet at Motohio at 8:30 AM.  A continental breakfast will be provided courtesy of Tim Horton’s.  This year’s ride will be to the Hofbrauhaus Columbus. 

Motohio Customer Appreciation track day at Mid-Ohio Sports Car Course – May 20th.  Mike has hired Nate Kern, BMW Ambassador, to participate and provide coaching to Motohio participants.  Details are posted on Motohio’s website. 

Hocking Valley Motorcycle Club Adventure Ride – June 2nd.  Details to be found at Hocking Valley Motorcycle Club.  Motohio will be providing lunch.  Tom Andrejcak will be organizing a group ride to this event.

Joshua advised the members in attendance that he had reached out to the club’s Board of Directors regarding a conversation that he had with the OSU student motorcycle club about providing a student membership level for the Buckeye Beemers.  The purpose of this new membership level is to both recruit additional members and to offer these younger riders’ exposure to more experienced riders.  All of the Board members responded that they were supportive of this proposal. 

The members in attendance discussed this proposal and developed the following criteria for student membership in the club. 

Student members -

  • are required to have a valid student ID.

  • annual dues will be $20.

  • will not have any voting rights, like our current Associate Members. 

    • If a student member wanted to be able to vote, they could become a voting member by paying the full annual membership dues payment of $35.

  • are ineligible to hold officer positions.

  • may participate in the monthly club business meetings.

After discussion, the members in attendance voted to approve this proposal, based on the criteria as noted above. 

New members’ decal – Joshua is soliciting suggestions for this year’s decal.  Please reach out to him with any suggestions.

Activities Report –

Rich McCoy reported that within the next week he will distribute a list of upcoming events. He also made a few updates to the club’s website.

Rich advised the members in attendance that a suggestion for this year’s club contest was made at a recent Sunday breakfast meeting. The idea is that since Ohio has had eight citizens serve as President of the United States, that members could ride to the various Presidential sites (E.G, libraries, grave sites, homes, memorials, etc.) in Ohio, as well as surrounding, and other States. Former Vice Presidents and Secretary’s of State could also be included. Details to follow.

Rich then brought up the possibility of the club making a charitable contribution to an organization to assist in the relief efforts for the Ohio communities (E.g. Indian Lake) that were devastated by the recent tornados. After some discussion, the members in attendance voted to authorize Henning Carlsen to issue a $250.00 contribution to the Red Cross along with a letter requesting that these funds be used to assist the Ohio communities that were impacted by the tornados.

Old business –

Mike advised the members that he was unsuccessful in his attempt to organize motorcycle drag races at National Trail Raceway in conjunction with the AMA the week of Vintage Days. Given the short lead time between now and the other Vintage Days events, the AMA declined to become involved in the event or this year. They did leave the door open to possible having this event next year.

Motohio will be having the Ducati Spring Open House this week on Friday, March 22nd and Saturday, March 23rd. All brands are welcome to participate.

With Euro Bike night starting up on April 9th, Joshua Casto suggested that we bring the club’s pop-up and attempt to recruit new members.

Tom informed the dealers that Full Throttle Thursdays will commence on May 2nd at the Fortress in Obetz, OH. Bike/car shows and music every Thursday through the summer. This might be something that members would like to experience.

Mike Allen called the meeting to order at 7:30 P.M as the refreshments had arrived at 7:00 PM, and everyone had finished eating.  As a result, the members in attendance agreed to start the meeting early.

Henning Carlsen provided a short financial report that indicated the treasury balance and that the club is solvent.  He noted that the club paid a total of $333.84 towards the Annual Banquet.  This amount represents the net difference between the gross cost of the banquet and the attendance fees paid by participating club members, associate members, and guests.

Annual Banquet – 35 people attended.  A discussion was held regarding the fact that some possible attendees did not participate because of the banquet room being on the second floor of the restaurant and that they would have difficulty navigating the stairs.  Some members thought that Schmidt’s might have a elevator/chair lift to access the upper floor.  This question will be researched more fully prior to the determination of the location for next year’s annual banquet.

Rich McCoy reported that he is very involved in the planning process for the club banquet.

  • As previously mentioned in the Treasurer’s report, the deposit for the large room at Schmidt’s has been made.

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on September 19, 2023.  Henning Carlsen moved to accept the minutes, as written, and that they be entered into the organization’s records.  Mike Allen seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved. 

Treasurer's report –

Henning Carlsen provided the members in attendance with a summary of his European motorcycle travels this summer.  After which he provided a short financial report that indicated the treasury balance and that the club is solvent. 

A discussion was held regarding how to handle the 2024 dues requirement for members that join the club in the last four months of the year.  After the discussion it was unanimously decided that any member who joins the club and pays the full year’s dues amount during the last four months of the year will have their membership remain in force through the end of the following calendar year.

Larry Laskorski moved to accept the Treasurer’s Report, as provided, and that it be entered into the organization’s records.  Rich McCoy seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  Should any members not attending this meeting need information on the current financial position of the club, please reach out to Henning.

Membership report – 

No membership report was provided as Joshua Casto was unable to attend due to illness.  The financial activity from the Treasurer’s report indicated that ten new members were added during the month of September. 

Activities Report –

Rich McCoy reported that there is a new location for the Sunday morning breakfast meetings – Bob Evans at the intersection of I-71 and OH-36.  He updated this information on the club website. 

Rich updated the photo on the club’s website with a photo of the R-18.  He also replaced the photo on the club’s membership page with a photo of the club members that attended the MOA National Rally holding the club’s banner.  Rich also advised the members in attendance that he has removed the contact information of all members from the website, except for the Board members whose contact information shown is their email address.

Rich stated that this past Sunday’s club ride was well attended with 9 riders.

Rich then presented an update on the planning of the annual club banquet.  Last year’s banquet was held on Saturday, January 28th at Schmidt’s and that Saturday, January 27th is currently available for booking.  Pricing from Schmidt’s is the same as last year.  Schmidt’s has agreed to make the larger room available to us if we have many club members/guests.  If we are unable to achieve an increase in participation from last year, our group will be moved to a smaller room.  The members in attendance agreed to keep the participant cost the same as last year - $25 per person.  Rich will send out an email to the membership providing them with the information for this year’s banquet.

Old business - 

Mike Allen provided a summary of the BMW 100 Year Anniversary Events:  Ann & Mike attended the US celebration in Birmingham, AL.  They said that it was a great event, which in their opinion was noticeably better than the event held in Germany earlier this year.

Mike summarized the events held by both BMW Motorcycles of Greater Cincinnati and Motohio.  

  • Saturday and Sunday, September 23rd & 24th – BMW Motorcycles of Greater Cincinnati.

    • Saturday activities - Group ride, bike show, bratwursts on the grill, and entertainment.

    • Sunday activity – Off road event nearby the dealership (Technical/slow speed/tight turn ribbon marked course with elevation changes).

  • Saturday, September 30th – Motohio European Motorbikes

    • Activities - Group ride, bike show and bratwursts on the grill.

All these events were well attended and successful.

Secretary’s report –

Treasurer's report –

No Treasurer’s report was provided as Henning Carlsen did not attend as he is travelling in Europe.  Mike Allen did state that the club is solvent. 

Membership report – 

Joshua Casto reported that a total of two new members were added to the club since the last meeting.  Joshua also reported that the club’s new members only, Facebook page has twenty-two members.

Member shirts and stickers are now available.  The new club stickers have been printed and Joshua is in the process of distributing them to the membership.  Members who have ordered shirts should reach out to Joshua to meet up with him to pick up and pay for the shirts if they haven’t previously done so.  For any members who did not order a shirt but would like to purchase one should contact Joshua as he had some additional shirts printed up.

Activities Report –

Rich McCoy reported that he has updated the club website for the addition of Joshua Casto as Membership Director. 

A discussion was held regarding the availability of members’ information on the website.  A decision was made to only list the names of members on the website.  No other members’ personal information will be available.  The ability to direct message members of the club’s private Facebook group would be available only to members who have opted to join the private Facebook Group.

Prior to the meeting, Rich did distribute an email to the club’s members wherein he listed the following upcoming events which he reviewed during the meeting’s Activities Report: 

  • BMW RA Rally in Davis WV.  Our group will meet at I-70 & SR-13 on Thursday, September 21st, at 8:00 AM.  There is a club camping area reserved for BBMC members.  If you decide to participate in the Thursday morning ride, please let Rich know.

  • September 22 - 24:  Greater Cincinnati BMW Riders hotel rally in Marietta.  Please contact Rich if you're interested.

  • September 22 - 24:  Hoosier Beemers Rally - North Vernon IN.  Please contact Rich if you're interested.

  • September 27 - October 2:  Twin Valley Riders Rally - New Castle VA. Rich has a few prepaid camping spots available.  He will be leaving Wednesday, September 27th to spend the day riding, then staying overnight somewhere, with more riding Thursday before arriving at the rally.  All are welcome to join Rich along with a small group of his friends. Mike Allen called the meeting to order at 8:02 P.M. Before commencing the normal business of the meeting, Mike announced to the members in attendance that Larry Laskorski has joined the Motohio Team as a Sales Rep.

Larry Laskorski read the minutes of the meeting held on July 18, 2023. Mike Allen moved to accept the minutes, as written, and that they be entered into the organization’s records. Membership report –

Joshua Casto reported that a total of five new members were added to the club since the last meeting. Four of the new members signed up during the BMW Demo days held at Motohio on Friday and Saturday, August 11th, and 12th.

Joshua also reported that the club’s new members only, Facebook page has twenty members. Joshua also reported that he has created a separate club information Facebook page that is viewable by anyone. This new page contains general information about the club and a downloadable application for anyone who would like to join.

The new club stickers have been printed and Joshua is in the process of distributing them to the membership. With respect to the club T-shirts that were approved at the last meeting, Joshua will be sending out a communication with information as to how members can order and pay for this year’s T-shirts. Joshua also stated that he will be reaching out to the membership for design suggestions for the 2024 club T-shirt.

Joshua asked Mike Allen if he could have the club banner to set up at the Waylin’ Wayne event in September. Mike agreed.

Connor Casto moved to accept the Membership report, as presented, and that it be entered into the organization’s records. Paul Zelenak seconded the motion. All members in attendance voted in favor, with no objections, and the motion was approved.

Activities Report –

Rich McCoy did not attend the meeting due to a family issue. Prior to the meeting, Rich did distribute an email to the club’s members wherein he welcomed the five new members to the club and listed the following upcoming events:

• This weekend, August 18th through August 20th - 4 Winds BMW Club rally in New Bethlehem, PA As a result of the family issue noted above Rich will be unable to attend. However, Josh Casto is planning to go. Please reach out to Josh if you're interested in riding out with him.

• September 6th through September 10th - Wailin' Wayne Weekend in Nelsonville, Ohio.

• September 10th – Monthly club ride. Details to be provided soon.

• September 14th through September 17th - BMW RA National Rally in Davis WV Discount admission available until August 21st. We will have a reserved club camping area. Please let Rich know, by August 21st, if you would like a camping spot. If anyone is interested in riding as a group, please let him know, as well, and he'll develop a plan.

• September 22nd through September 24th - Greater Cincinnati BMW Club rally in Marietta, Ohio. Please let Rich know if you are interested in attending. Hotel reservations are up to individual members.

• September 22nd through September 24th - Hoosier Beemers Rally in North Vernon, IN.

• Oregonia Hill Climb – October 8th.

• TBD - Possible joint ride with the Southeast Ohio Beemers.

Mike is still working to close the Club’s old Facebook page. Joshua Casto has volunteered to help Mike accomplish this.

New business –

Mike advised the members in attendance that the AMA Museum is planning another Bike Night for September 16th and they have asked if we would like to participate and set up our membership popup again. After some discussion it was decided that the club would participate in the upcoming AMA event.

Joshua Casto, the club’s new membership director, reported that one new member was added to the club since the last meeting. 

Joshua suggested that the club consider offering, for purchase to club members, both T-shirts and stickers to advertise the club.  Joshua presented a draft of the sticker to the members in attendance.  After some discussion and suggested edits to the sticker, Mike Allen moved that Joshua incorporate the suggested edits into a new draft of the sticker and have them produced.  Tom Andrejcak seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.  

Joshua then presented his mockup of a long-sleeved club T-shirt.  The shirts would be offered to club members for purchase at the following prices  $35.00 for sizes up to and including XL, $37.50 for sizes XXL and larger.  Joshua advised that a minimum order of twenty T-shirts is required before production could begin.  Joshua volunteered to have members send their orders and payments to him as opposed to having the funds run through the club’s treasury.  After some discussion and suggested edits to the sticker, Tom Andrejcak moved that Joshua incorporate the suggested edits into a new draft of the T-shirt and have them produced for purchase by the members upon receipt of the minimum order quantity of twenty.  Rich McCoy seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was approved.

  • Waylin’ Wayne – September 6 – 10.  Participants may participate in the entire event or just ride down for the day.  There will be organized rides on all surfaces (dirt, gravel & paved roads).  At the May meeting, Joshua Casto stated that he will be there for the entire event and will have a 12’x20’ tent set up.  He will be room to hang out and sleep (bring a cot and contact Joshua if you w0uld like to sleep in the tent).  For those interested in just riding down for the day, a ride from Motohio may be scheduled.  Please contact Rich McCoy.

  • 2023 BMW Riders Association National Rally - September 14 – 17, 2023, Canaan Valley Resort and Conference Center, Davis, West Virginia.

  • The Cincinnati club will be having a fall outing to Marietta on September 23 – 24.  This will be a hotel-based trip and have invited our membership to participate.  Rich will obtain more details and post them on our website.

  • Oregonia Hill Climb – October 8th. 

Joshua Casto suggested planning for a “Spring Break – 2024” ride to Florida.  Any members interested in participating should contact Joshua for details.

Old business - 

At the May meeting Joshua Casto volunteered to develop a mockup of a closed group Facebook site for the club.  Joshua presented the working model of the Buckeye Beemers Motorcycle Club Facebook group to the members in attendance. 

As this will be a closed group, it is open to any active member of the Buckeye Beemers Motorcycle Club.  To join the group, you must submit a membership request and agree to the posted membership rules.   The reason behind setting up the group in this manner is to prevent scammers from posting. 

Joshua also stated that to remain an active member of the group, members must be current for the payment of club dues.  Should a member fall 30 days behind in the payment of their dues, they will still be able to view the posts in the group but will be unable to post anything until their dues are brough current.  Should a member fall 90 days behind in the payment of their dues, membership in the group will be terminated.  Post-termination, an individual may reapply for membership in the group once they have brought their dues current.  

Joshua stated the members would be able to post items for sale on the group page (Only personal motorcycles/motorcycle gear).  Please see the rules on the group page. 

Mike suggested that we terminate/discontinue the current “Open” Facebook page.  All members in attendance agreed with Mike’s recommendation. 

Joshua’s presentation was well received by all members in attendance.  Rich McCoy moved to approve the adoption of the new Facebook Group.  Henning Carlsen seconded the motion.   All members in attendance voted in favor, with no objections, and the motion was approved.

Secretary’s report –

Larry Laskorski read the minutes of the meeting held on April 18. 2023. Mike Allen moved to accept the minutes, as written, and that they be entered into the organization’s records. Rich McCoy seconded the motion. All members in attendance voted in favor, with no objections, and the motion was approved.

Treasurer's report –

Henning Carlsen provided a short financial report that indicated the treasury balance and that the club is solvent.

All members in attendance voted in favor, with no objections, and the motion was approved. Membership report –

With the club currently searching to replace Cory Samuell as Membership Director, resulting from his move out of state, Mike Allen presented the membership report.

The club currently has forty-five members, including new members Rich Amiton and Connor Casto, both of whom were in attendance for this meeting.

Rich McCoy moved to accept the Membership report, as presented, and that it be entered into the organization’s records. Larry Laskorski seconded the motion. All members in attendance voted in favor, with no objections, and the motion was approved.

Activities Report –

Rich McCoy discussed and presented information on the following activities:

• BMW MOA National Rally – June 8th - 10th. Rich has secured an area with 20 campsites for members/guests to camp. He is hoping to have our site next to/near the Cincinnati BMW club site. Mike suggested that we purchase a small banner with the Buckeye Beemer’s club name to help identify our camping area at the rally. The members in attendance supported this suggestion.

• The Cincinnati club will be having a fall outing to Marietta on September 23 – 24. This will be a hotel-based trip and have invited our membership to participate. Rich will obtain more details and post them on our website.

• The calendar on our website has been updated. Rich will try to provide a link to the Motohio website for the calendar of weekly dinner rides.

• June Club ride – participation in the BMW MOA National Rally will take the place of this normally scheduled ride as the rally takes place when the club ride would normally take place.

• Waylin’ Wayne – September 6 – 10. Participants may participate in the entire event or just ride down for the day. There will be organized rides on all surfaces (dirt, gravel & paved roads). Joshua Casto stated that he will be there for the entire event and will have a 12’x20’ tent set up. He will be room to hang out and sleep (bring a cot and contact Joshua if you w0uld like to sleep in the tent). For those interested in just riding down for the day, a ride from Motohio may be scheduled. Please contact Rich McCoy.

• Oregonia Hill Climb – October 8th.

• Mid-Ohio Vintage Days – July 21st – 23rd.

• Distinguished Gentleman’s Ride – May 21st, Website: Distinguished Gentleman's Ride. Meet Sunday morning at 10:00 AM at Motohio.

• Motohio Demo Ride event – August 11th to 12th.

Larry Laskorski moved to accept the Activities Report, as presented, and that it be entered into the organization’s records. Mike Allen seconded the motion. All members in attendance voted in favor, with no objections, and the motion was approved.

Old business -

Mike Allen reiterated that we are still looking for a Membership Director, as well as someone to assist the Membership Director by maintaining the club website and possibly a private Facebook page. Any members interested in filling any of these roles should contact Mike Allen.

Mike reminded the members in attendance that Motohio will pay the first-year club membership for any purchaser of a new BMW motorcycle that expresses interest in becoming a member of the club.

At the April meeting a discussion was held regarding the challenges that the club has faced with the operation of the website with respect to some members not being able to log in to the Members Only section. Additionally, the monthly cost of maintaining the website, in its current form, has been increasing. The members in attendance at the April meeting discussed modifying the club website to both reduce the monthly maintenance cost of the site and eliminate the member access problems that have occurred. In the revised website form, the information contained therein would be accessible by everyone, without the requirement to login. Updates and modifications to the website would only be made by the Board members (E.G.; President’s messages, Secretary’s notes, Activities Calendar, etc.). The personal information of members would not be available on the website. It was agreed that this was the best course of action for the club to take.

The implementation of this change was anticipated to be effective on or about Monday, May 1, 2023, and was delayed due to Mike not being able to contact Cory. Mike will reach out to Cory again to request that he implement this change. Once implemented, members will not be able to log in to the Members Only section and may receive an email notice that their membership has expired. Larry had previously made the membership aware of this possibility. He stated that he would again provide this information to all members when he sends out the notification that the May meeting minutes have been posted on the website.

Joshua Casto volunteered to develop a mockup of a closed group Facebook site for the club which he would plan to present at the next club meeting. This would be a way to provide members with real-time updates about the club and activities.

Charitable activities – historically, the club has supported Smile Train. Mike distributed flyers for BMW’s “Ride It Forward Day of Charity Event” on June 10th. BMW Clubs and riders are encouraged to connect with and support local charities. Mike suggested that on June 10th, the club support Growler’s Dog Bones (a charity that supports individuals with disabilities – Autism). Individuals interested in participating would meet at the dealership for breakfast and then ride to Growler’s Dog Bone’s location. More information to follow.

Joshua Casto made a motion to change the club’s charity from Smile Train to Growler’s Dog Bones. Rich McCoy seconded the motion. All members in attendance voted in favor, with no objections, and the motion was approved.

Another charity that the club will investigate is one where we could support by donating old usable riding gear. The charity could then auction/sell the gear to raise funds or provide the gear the younger riders in need thereof.

New business –

The following new business topics were discussed:

• As was done during last year’s Demo Truck Event at Motohio, Mike would like to set up the membership tent to attempt to recruit additional new members. Rich McCoy and Joshua Cast volunteered to man the tent. Please let Mike know if anyone else would like to volunteer to staff the tent and what availability you may have over this two-day event?

• Motohio has added the schedule of the Buckeye Beemer club’s meeting on their website calendar.

Mike then stated that since Cory’s departure, the club has faced some challenges with the operation of the website with respect to some members not being able to log in to the Members Only section.  Additionally, the monthly cost of maintaining the website, in its current form, has been increasing. 

The members in attendance then discussed modifying the club website to both reduce the monthly maintenance cost of the site and eliminate the member access problems that have occurred.  In the proposed revised website form, the information contained on the website would be accessible by everyone, without the requirement to login.  Updates and modifications to the website would only be made by the Board members (E.G.; President’s messages, Secretary’s notes, Activities Calendar, etc.).  

The members in attendance agreed that this was the best course of action, at this time.  Mike stated that he will contact Cory and ask him to eliminate the Members Only section and related login requirements.  It was decided to implement this change on or about Monday, May 1, 2023.  When this change happens, members will not be able to log in to the Members Only section and may receive an email notice that their membership has expired.  Rich suggested that we inform all members of this change.  Larry said that he would provide this information to all members when he sends out the notification that the April meeting minutes have been posted on the website. 

The creation of a closed group Facebook site was also discussed.  Joshua and Joie Casto said that this would be very helpful to the club and would also be a way to provide members with real-time updates about the club and activities.  A suggestion was made that the club may wish to consider migrating fully to the closed Facebook page and eliminating the website at some point.  No action was taken on either of these items.

Activities Report –

Rich advised the members in attendance that he is currently updating the Activities calendar on the club website. 

The “Covered Bridge” contest has commenced.  All members are encouraged to participate. 

MOA National Rally (June 8th to June 10th) – Rich said that he will see if he can arrange for a club camping area for anyone who wants to participate. 

Other potential activities –

·  May 6th at National Trail Raceway.  (Car and motorcycle event).

Old business - 

Club Business Cards -  The design and printing of these cards was approved at the March meeting.  Rich had the cards printed and distributed some to the members in attendance at this meeting.  Motohio has been provided with cards to give out to individuals that express an interest in participating in the club. 

With the resignation of Cory Samuell as Membership Director, the club is now seeking his replacement.  Any members interested in filling this role should contact Mike Allen. 

In addition to being Membership Director, Cory also functioned as the webmaster for the club’s website.  Any members interested in filling this role should contact Mike Allen. 

Charitable activities – several possible charitable activities were discussed:

·  Donating to Smile Train, as we have in the past.

·  Mike will request some information from Chad Warner regarding the Autism charity that he supports the BMW MOA.

·  Consider supporting other charities. 

New business –

The following new business topics were discussed:

·  Motohio has scheduled the BMW Demo trucks for both BMW Motorcycles of Greater Cincinnati and Motohio.  The dates are:

·  Friday, June 30th and Saturday, July 1st - BMW Motorcycles of Greater Cincinnati.

·  Friday, August 11th and Saturday, August 12th - Motohio.

·  Like last year’s Demo Truck Event at Motohio, Mike would like to set up the membership tent to attempt to recruit additional new members.  Please let Mike know if you would like to volunteer to staff the tent and what availability you may have?

·  Motohio will be participating in the AMA Bike Night on Friday, May 13th.  He will also set up the club membership tent.  Please let Mike know if you can volunteer to staff the tent for this event.

·  The weekly Motohio Dinner Ride Schedule is currently being updated and will be posted to Motohio’s website.

·  Motohio will add a link to the Buckeye Beemers Motorcycle Club on its website.

·  Mike contacted Neil Jones, the Editor of the BMW Motorcycle club of Cincinnati to see if we can piggyback and jointly attend an overnight outing with them this year.  Neil said that they are all for it, “the more the merrier!”

Treasurer's report –

Henning Carlsen provided a short financial report that indicated the treasury balance and that the club is solvent.   

A discussion was held regarding what the club could do with the funds on hand.  A couple of suggestions were made:

  • Contribute to Smile Train as the club has done many times in prior years.

  • Utilize some funds to offset the expense of future club outings.

It was decided to discuss this topic more at future meetings.

In past meetings, Mike has requested that members submit their interesting ride stories and pictures to be posted on the club website.  Mike reiterated his request to all members to submit and post a story on the website. 

New business – 

The following new business topics were discussed: 

  • Motohio had 14 bikes (12 BMW’s, 1 Ducati, and 1 Triumph) at the Columbus Auto show for four days last week.  It was a great turnout with lots of people interested in motorcycles.

  • Motohio has ordered the BMW Demo truck to come again to both dealerships this year.

    • As soon as the dates are confirmed, Mike will communicate them to all.  

  • Like last year’s Demo Truck Event at Motohio, Mike would like to set up the membership tent to attempt to recruit additional new members.  Please let Mike know if you would like to volunteer to staff the tent and what availability you may have?

  • Mike will contact the BMW Motorcycle club of Cincinnati’s President and see if we can piggyback and jointly attend an overnight outing with them this year.  He’s sure it would be a fun time.   

  • Motohio has free tickets to the Columbus Home and Improvement Show, (March 31st to April 2nd) for any BBMC member that is interested in going to the show.  Interested members should contact Mike.

Larry Laskorski read the minutes of the November 15, 2022, meeting.  No meetings were held for the months of December and January.  The club banquet was held on January 28, 2023.  Mike Allen moved to accept the minutes, as written, and that they be entered into the organization’s records.  Henning Carlsen seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was carried.

Membership report – 

Mike Allen advised the members in attendance that Cory Samuell has moved out of state and has resigned from his position as Membership Director.  The Directors and members in attendance wish Cory well in his move and thank him for filling this role for approximately the past eighteen months. 

Mike stated that he is now searching for someone to fill the role of Membership Director.  The members in attendance compared the membership list from the website against the membership renewal payments received by Henning Carlsen.  After review it was determined that the club currently has 34 active paid members.  Mike Allen stated that he would contact those members that have not yet renewed their membership to see if they would like to continue to be a member of the club.  Any members who have not renewed their membership are asked to do so and mail their dues payment to Henning Carlsen, 5405 Infinity Court, Grove City, OH, 43123. 

Rich McCoy moved to accept the Membership Report as provided, and that it be entered into the organization’s records.  Al Holtsberry seconded the motion.  All members in attendance voted in favor, with no objections, and the motion was carried.  

Activities Report –

Rich stated that Al Holtsberry and he had been discussing some of the club’s past contests wherein club members would

Keep track and submit photos of scenic sites with their bike.  Some of the contest names/descriptions to be considered would be: 

·         Gimme Shelter – picnic shelters.

·         No Gas – old/abandoned gas stations.

·         No Classes Today – abandoned school buildings.

·         No Vacancy – abandoned hotels.

·         No worshipping here - abandoned or repurposed churches,

·         Covered Bridges 

Rich will develop the details of each contest for distribution to the membership with the goal of all submissions being received prior to the November meeting to provide Rich with the time to review and tabulate all submissions by category.  Rich is currently developing some activities for the upcoming year.  He has also populated some activities on the club’s website.
